Therefore, Schouw & Co. encourages its directors, management, employees and external stakeholders who have concerns about suspected misconduct to come forward and express these concerns and to use the Schouw & Co. whistleblower hotline.
2. Which offences may be reported
You may report concerns about illegal or criminal activities, serious violations of internal guidelines or polices, and unethical business conduct.
3. Anonymity and Confidentiality
It is entirely up to you whether you decide to disclose your identity or remain anonymous, and any information received by virtue of the hotline will be processed whether anonymous or not. However, Schouw & Co. encourage you to disclose your identity towards the company. All concerns raised will be handled with appropriate confidentiality and with a high degree of sensitivity. All data submitted through the whistleblower hotline is encrypted and IP logging restrictions are installed on the portal.
4. Secure Post Box
When you submit a report via the hotline, you are free to choose whether you remain available for further inquiries by opening a secure post box. We recommend that you make yourself available because we may not be able to process and finalize the case without further information from you. Regardless of whether you want to remain anonymous or you choose to reveal your identity, we recommend that you open a secure post box. This makes it safer and easier for us to communicate.
5. Who will review the information
Information submitted via the whistleblower hotline will initially be reviewed by Schouw & Co. Legal & Compliance. Upon initial screening reports may, provided they are not clearly unfounded or outside the scope of the whistleblower scheme, be assigned for further processing by a team of investigators within the relevant portfolio company.
6. Confirmation of receipt and Feedback
Provided that a secure post box has been established, Schouw & Co. will confirm the receipt of your report. You will also be informed whether the report has been rejected or admitted for further investigation by Schouw & Co. or within the portfolio company. We will not share with you details of the ongoing investigation.
7. No retaliation
Schouw & Co. will take the necessary measures to protect individuals who have, in good faith, made reports through the whistleblower hotline, against any retaliation from managers or other involved parties.
8. False allegations
You must ensure as far as possible, that your report is factually accurate, complete, from firsthand knowledge, presented in an unbiased fashion and without material omission. Anyone who submit false reports of misconduct (including where the allegation has been made maliciously or without any basis) will be subjected to disciplinary proceedings, including summary dismissal, and possibly legal action.
9. Processing of personal data
You should avoid reporting on sensitive personal information such as racial or ethnic origin, political opinions, religious or philosophical beliefs, trade-union membership and data concerning health and sexual orientation not relevant for the case. The whistleblower hotline and portal are ISO 27001 compliant and allows for secure case management, record keeping and deletion in line with the General Data Protection Regulation (GDPR) principle of accountability.
